Phase 1 · Pre-Engagement

  • Send engagement letter and workflow intake form
  • Intake covers: current tools/software stack, top 5 time-consuming tasks, team size/roles, AI tool budget, tech comfort level (1–5)
  • Research client's industry-specific AI use cases before kickoff call

Phase 2 · Workflow Discovery (60–90 min)

  • Walk through each major function: sales, operations, finance, marketing, customer service
  • For each: what tools are used, time spent, what is manual or repetitive, what causes errors
  • Identify top 5–8 automation opportunities
  • Discuss tool comfort level and any hard limits (data privacy, budget ceiling)

Phase 3 · Audit & Recommendations (4–6 hrs)

  • Build Workflow Audit: process map, time estimate, and automation feasibility score for each workflow
  • Research and evaluate 2–3 tool options per identified opportunity
  • Build Tool Recommendation Matrix: tool name, use case, cost, ease of setup, estimated time savings, priority
  • Draft implementation plan with sequencing and timeline

Phase 4 · Implementation (6–15 hrs)

  • Start with highest-ROI, lowest-complexity tools first
  • FOR ZAPIER/MAKE: document trigger, actions, filters, and error handling before building; test with 5+ real data samples
  • FOR AI TOOLS: build custom prompts/workflows; test outputs for accuracy and reliability
  • Document all settings and logic for each tool
  • QA every tool: run test cases, verify outputs, confirm reliability

Phase 5 · Training & 30-Day Check-In

  • Conduct team training session (60–90 min): live walkthrough of each tool in context of their actual job
  • Create quick-reference SOP doc for each tool: purpose, how to use, what to do if it breaks
  • Send all documentation as PDF and editable Google Doc
  • 30-Day Check-In: review what is working, troubleshoot issues, identify next optimizations
