Walk through each major function: sales, operations, finance, marketing, customer service
For each: what tools are used, time spent, what is manual or repetitive, what causes errors
Identify top 5–8 automation opportunities
Discuss tool comfort level and any hard limits (data privacy, budget ceiling)
